Enrolment

Upon arrival, exchange students should go to the enrolment office (SIC) in Louvain-la-Neuve in order to register at the UCL. They should be in possession of the following documents:
  • a valid passport or identity card (non-European Union citizens should be in possession of a visa);
  • the UCL acceptance document "Autorisation d'inscription";
  • proof of health insurance (European health card or a private insurance certificate).

The registration of exchange students is free, covers one academic year, and is not renewable.

You
should present the following documents: 

1.  A health insurance certificate, different if you are European or non-European union national:

  • European Union
    Membership of a health-insurance company ("mutuelle") is compulsory except for European-Union nationals, who, as members in their own country, have to get their European card from their federation and for some students with study grants whose organization covers their health costs (check with the organization that gave you your study grant).
  • Non-European Union
    For non-European Union country nationals who are linked to an insurance system of this kind in their country, you have to inquire with the insurance company whether they intervene abroad, in the framework of international agreements.).

2. A copy of your location contract

3. A copy of the "Autorisation d'inscription"

4. A copy of your valid passport or identity card (non-European Union citizens should be in possession of a visa).

A UCL student card will be subsequently issued to you, allowing you to access to the computer and library facilities of your department.

Once the registration as exchange students is done,you must go to the Faculty of sciences, at the address (plan of access):

The administrative coordinator, Mme Fernández-Gacio, will address you to the academic coordinator of your subject of studies to verify the feasibility of the courses mentioned in your learning agreement. At this point, it is possible to propose changes to the original learning agreement but these modifications must be approved by the academic coordinators both at UCL and at your home Institution.
