Thesis Submission in Dial & Printing

The upload of the master thesis/final dissertation in the DIAL.mem platform is MANDATORY

Good to know!
- The file(s) submitted online constitute the official version submitted to the examinationboard, even if students are also required to submit one or more printed copies.
- In cases where a printed version must also be submitted, the printed copies must be generated from the files uploaded to the platform.
- Any discrepancy between the printed and electronic versions may lead the examination board to consider the submission irregular, potentially resulting in a failing grade (“T” = 0/20)
- Only one submission per session is allowed (Exception: a student defending 2 thesis for 2 different programs of study in the same session submits the first thesis and then contacts the second program's reponsible to submit the second).
- Be mindful that the title of the thesis will be reproduced on the diploma supplement as you have described it on the platform.
So BE very CAREFUL that you submit the correct version of your files and that the data you enter is accurate.
How to submit and print your thesis?
- Step 1 - You can ask for the final opinion of your supervisor(s) before submitting your thesis. This step is not mandatory but recommended. This opinion cannot block a student who wants to submit his/her thesis. It should be considered as a final information to be taken into account before submission. If you want to obtain a final opinion from your supervisor, please send the final thesis to your supervisor by:
- December 15th for a submission in January Session
- May 2nd for a submission in June Session
- July 15th for a submission in September Session
- Step 2 - Submit FINAL electronic version on DIAL (see procedure here under)
- Step 3 - Bring your DIAL submission certificate to the Student Office (Julie Porreweck) with a copy of your thesis cover. Be mindful that the attest must be dated and signed to be valid.
PAY ATTENTION: No printed hardcopy of your thesis is required for the student office Just bring the paper DIAL submission proof signed and dated with a copy of the thesis cover. - Step 4 - (Not applicable for masters 60) Send your Thesis (PDF) by mail to your thesis reader as he/she will not be notified by the DIAL application.

DIAL.mem: main steps to be followed
DIAL.mem is a platform developed by UCLouvain for managing the archiving and consultation of electronic master theses. Students completing a second-cycle degree can access their personal space, MYDIAL.MEM, after logging in. A submission can be started, saved temporarily and resumed later before finalizing.
Log in, access your personal MYDIAL.MEM space, and start the submission process using your UCLouvain account.
Please use Firefox or Chrome and login with the UCLouvain ID and password!Upload the thesis file(s) (at least one PDF containing the main text and appendices; additional files for separate appendices may also be included)
Define the desired access type for each uploaded file (should the file be accessible, and if so, openly or with restrictions?) The student is informed that those conditions might be restricted, after deliberation, according to the rules established by the UCL academic authorities.
Describe the thesis: the author and any co-authors in case of joint thesis*, the (co-)supervisor(s), the title (as it will appear on the diploma supplement), the abstract, etc. *In the case of a thesis with several authors (a single text/content for several authors), only one of the students submits on-line mentioning all the authors. The certificate of submission (refer to point 4 and 4 hereunder) is sent to all the authors
Sign the license authorizing the university to archive the thesis (mandatory) and, optionally, to distribute it. The DIAL submission certicate and the Thesis COVER SHEET must be printed, signed and handed over to the Secretariat (No paper hardcopy of the thesis is required for the secretariat). After completion, a submission certificate will be sent by email to the author (or to the authors of the joint thesis) and to the supervisor(s). The certificate will be attached to the email in a pdf format and will act as proof of thesis submission on DIAL.
