Access to the university’s IT services is determined by your UCLouvain identity and user profile (staff member, student, alumnus/alumna, university hospital staff, library user, etc.).

UCLouvain user account

A UCLouvain user account is created for every new enrolee. It consists of a username and password. The account can be activated from any computer connected to the internet. Students may also activate their account from a computer in one of UCLouvain’s classrooms.

The account remains active until the end of contracts for staff members, until the end of the academic year for students (September), and indefinitely for emeritus academic staff.

Where to get a UCLouvain user account and access card

  • For students: Enrolment Office
  • UCLouvain staff: Human Resources Department
  • Library users: libraries

Procedure for new students

  • Have your NOMA number to hand (you can find your NOMA number on documents sent by the Enrolment Office or on your student card).
  • Go to the “Compte UCLouvain” page and click “English Version”. You will be given your UCLouvain username.
  • Choose a password. 
  • Choose or enter a secret personal question and record a simple answer, which will be essential if you forget your password.

If you are unable to activate your account or log in to MyUCLouvain, please call 010 478 282 (students in Mons and Charleroi call 065 323 444).

Procedure for new hires

From the first day of your contract (and not before), please contact the Service Desk at 010/478282 to get your FGS number.

  • Go to the “Compte UCLouvain” page and click “English Version”. 
  • Choose a password. 
  • Choose or enter a secret personal question and record a simple answer, which will be essential if you forget your password.

Procedure for alumni

You can use your personal email address (the one provided to the Alumni Office) to set, reset or change your password using this link. This personal email address can subsequently be used as your username.

Procedure for non-UCLouvain users

  • Have your FGS registration number at hand (which can be found on your library access card).
  • Go to the “Compte UCLouvain” page and click “English Version”. You will be given your UCLouvain username.
  • Choose a password. 
  • Choose or enter a secret personal question and record a simple answer, which will be essential if you forget your password.

Smartcard

To access buildings, computer rooms, car parks and libraries, each person is issued an electronic access card (Smartcard) displaying their photograph, first name and surname, and FGS number. This card is strictly personal and non-transferable; the cardholder is responsible for its use.

Under normal circumstances, your card will be issued within 15 working days, provided that you submitted a photograph meeting the required specifications with the form.

If you have not received your card after 15 working days:

Your first UCLouvain card is activated automatically. If you already had a valid magnetic card, your new card will be activated automatically seven days after the date of dispatch. The old card will then be deactivated so that you can use the new one.

Service Desk

The Service Desk is the single point of contact for all UCLouvain IT-related requests. It helps all new UCLouvain members resolve issues relating to:

  • access cards;
  • usernames;
  • passwords;
  • requests relating to IT services (email, calendar, Wi-Fi, portal, etc.).

Wi-Fi

UCLouvain provides seamless access to its Wi-Fi network using advanced security and authentication technologies.

Three networks
  • UCLouvain: for UCLouvain staff;
  • eduroam: for UCLouvain students and staff, and visitors who are eduroam network members;
  • visiteurs.UCLouvain: for other visitors or UCLouvain conference attendees/participants, as well as non-UCLouvain users registered with UCLouvain libraries.
Eduroam

UCLouvain is a partner in the eduroam project. Visitors from all partner universities can access the Wi-Fi network using the username and password provided by their home institution. An eduroam configuration tool has been customised for UCLouvain. Please download the installer that corresponds to your operating system.

Connecting

You will need to know your username and the associated password:

  • for UCLouvain students: eduroam network → login: your email address: mail@student.uclouvain.be;
  • for eduroam member visitors: eduroam network → login: home university username;
  • for visitors: visiteurs.UCLouvain network → you will receive a temporary login 
  • for conference attendees/participants: visiteurs.UCLouvain → you will receive a temporary login.

Temporary access request for visitors and conference participants/attendees

Temporary Wi-Fi access for a visitor, conference participants/attendees, etc., may be requested by a UCLouvain staff member. Please consult the Wi-Fi pages on the MyUCLouvain intranet after logging in.
 

The eduroam service provides secure Wi-Fi internet access for staff and students at higher education and research institutions. Users from an eduroam member institution can securely access the internet at all other member institutions using their usual password.

UCLouvain has signed the eduroam agreement and therefore provides access to the eduroam Wi-Fi network to all members of partner institutions.

You are a member of an eduroam partner institution visiting UCLouvain

During your visit to UCLouvain, you can access the Wi-Fi network, available under the name eduroam, using your usual username and password, just as you would at your home institution. When connecting, you will be prompted to enter the username and password provided by your institution:

  • username: username@your_institution;
  • password: your institution password.

This eduroam page provides downloadable configuration tools. To connect to the eduroam network at UCLouvain, client devices must be configured to support the following protocols:

  • encryption method: WPA2 (+AES)
  • access control protocol: IEEE 802.1X
  • supported authentication methods: EAP-TTLS (+PAP) and EAP-PEAP
