Provisional attestation of enrolment

What is it used for?

- Obtaining the student rate for public transport (SNCB, STIB, TEC, De Lijn)

 

Where to obtain it?

- On your virtual desk: ‘Provisional student card and public transport’.

 

Final attestation of enrolment

What is it used for?

- Obtaining family allowances.

- Finalising your application for student grants.

- Registering for health insurance.

- Proving your status as a regular student for the current year.

 

Where to obtain it?

- On your virtual office: ‘Regular enrolment (where applicable, child benefit, mutual insurance, etc.)’.

 

Certificate of enrolment

What is it used for?

- Finalise your application for a scholarship abroad.

- Prove your enrolment for the current year.

 

Where to obtain it?

- Upon request from the Enrolment Office.

→ Bring your identity document with you.

 

Certificate of enrolment specific to educational leave with pay

What is it used for?

- Complete your application for paid educational leave with your employer.

 

Where to obtain it?

- Upon request from your faculty secretariat.

What is it used for?

- Complete your registration file at another institution in the French Community of Belgium.

 

Where to obtain it?

- Upon request from the Enrolment Office.

What is it used for?

- Provide proof of all your enrolments at UCLouvain, as well as the number of credits registered and acquired for each enrolment.

Notice of enrolment

What is it used for?

- Pay your enrolment fees for the current year.

- On your virtual office.

 

Invoice

What is it used for?

- Proof of payment of your registration fees to a third party: ‘Registration notice and invoice’

 

Where to obtain it?

- Upon request from the Enrolment Office.

Certificate of success

What is it used for?

-  Loss of official diploma.

Where to obtain it?

- Upon request from the Enrolment Office.

→ Please bring your identity document with you.

 

Official diploma

What is it used for?

- Provide evidence of academic degree obtained.

→ Please note that the official certificate is only issued once and will not be reprinted if lost.

Where to obtain it?

- At your faculty secretariat.

What is it used for?

- Provide evidence of your results for a specific academic year and programme.

- Complete your application form for enrolment at another institution. 

Where to obtain it?

- At your faculty secretariat.

All documents relating to paid educational leave should be requested from your faculty secretariat.

Cards

Student cards will no longer be issued for the 2025–26 academic year
What is the student card used for?

The student card allows you to prove your student status. It is useful for:

- Obtaining discounts in certain shops or reduced admission fees to certain museums, cinemas, etc.

- Proving your identity when taking exams.

 

Don't have a student card and want to take an exam?

It's not a problem. You can take your exams with:

- Your identity card

- And your certificate of enrolment (downloadable from your virtual desktop)

What is the access card used for?

The access card allows you to enter the UCLouvain premises to which you have been granted access:

- Libraries

- Computer rooms

- Laboratories

- ...

 

When and where will you receive your access card?

Your access card is produced once only when you first enrol and will be reactivated each time you enrol at UCLouvain, even after a break. Keep it safe.

 

It will be sent to the postal address specified in your enrolment application.

 

→ Note: Access cards are never sent outside Belgium. If you did not provide a Belgian address when you enrolled, your card will automatically be sent to the Enrolment Office on your campus. The Enrolment Office will contact you by email as soon as your card is available.

 

Haven't received your access card?

1. Have you received a UCLouvain access card in the past? If so, it has been reactivated. If you have lost it, go to the next section, “Have you lost your access card?”.

2. Make sure you are regularly or provisionally enrolled at UCLouvain. You are regularly or provisionally enrolled if you can download your provisional student card to your virtual desktop.

3. Make sure that your photo has been validated. You can check in your smartcard file that a photo is present. If this is not the case, upload it here.

 

Have you lost your access card?

You can order a new access card by going here.

The renewal of the access card costs €20.

Do I need a physical sports card?

No, you can book a sports session online.
