All documents relating to paid educational leave should be requested from your faculty secretariat.
The student card allows you to prove your student status. It is useful for:
- Obtaining discounts in certain shops or reduced admission fees to certain museums, cinemas, etc.
- Proving your identity when taking exams.
Your access card is renewed at the start of each new academic year.
It is sent to the postal address specified in your enrolment application.
→ Note: Student cards are never sent outside Belgium. If you did not provide a Belgian address when you enrolled, please contact the Enrolment Office.
1. Ensure that you are registered as a regular student at UCLouvain. You are registered as a regular student if you can download your certificate of regular enrolment from your virtual desktop.
2. Ensure that your photo has been approved. You can check your smartcard file to see if a photo is present. If not, upload it here.
3. Ensure that you have provided a postal address in Belgium. If this is not the case, contact the Registration Office.
It's not a problem. You can take your exams with:
- Your identity card
- And your certificate of enrolment (downloadable from your virtual desktop)
The access card allows you to enter the UCLouvain premises to which you have been granted access:
- Libraries
- Computer rooms
- Laboratories
- ...
Your access card is produced once only when you first enrol and will be reactivated each time you enrol at UCLouvain, even after a break. Keep it safe.
It will be sent to the postal address specified in your enrolment application.
→ Note: Access cards are never sent outside Belgium. If you did not provide a Belgian address when you enrolled, your card will automatically be sent to the Enrolment Office on your campus. The Enrolment Office will contact you by email as soon as your card is available.
1. Have you received a UCLouvain access card in the past? If so, it has been reactivated. If you have lost it, go to the next section, “Have you lost your access card?”.
2. Make sure you are regularly or provisionally enrolled at UCLouvain. You are regularly or provisionally enrolled if you can download your provisional student card to your virtual desktop.
3. Make sure that your photo has been validated. You can check in your smartcard file that a photo is present. If this is not the case, upload it here.

The student card and the ‘sports card’ are one and the same card. If you requested a sports card when you (re)enrolled, a coloured strip with the word ‘sport’ will appear at the top of your student card.
If you did not choose the sports card when you enrolled but would still like to obtain one, you can contact the sports department on your campus.
