Important steps to do once you are selected

The step-by-step detailed procedure is explained in an email that is sent to you by the Double Degree Officer around the end of March.

 

Important deadlines to complete the UCLouvain mandatory online admission procedure and to upload all required documents:

 

March 31 for non-EU citizen
September 13 for EU citizen
September 15 for any nationality living in Belgium

Essential Steps for Non-EU Applicants


If you are a non-EU citizen aiming for our LSM Double Degree, obtaining a student visa is mandatory to enter Belgium. This visa is also required to complete your final registration at UCLouvain upon arrival.

Critical Deadline Alert

 

Submitting your complete registration file late can significantly delay your official UCLouvain Acceptance Letter (the “Autorisation d’inscription”). A late letter could directly lead to problems obtaining your visa on time.

 

Respecting the submission deadlines is non-negotiable for a smooth transition into your Double Degree or MSc Management programme.


Your Official Proof of Acceptance

 

The official UCLouvain Acceptance Letter (“Autorisation d’inscription”) is sent to you by postal mail. This physical document is essential:

 

1) Visa Application: You will need it to obtain your Belgian student visa.

 

2) Final Registration: It is required for your official registration at the university upon arrival.

The Louvain-la-Neuve campus offers a unique, vibrant, and entirely pedestrian student city, home to over 15,000 students. Living on campus is the best way to fully experience student life while completing your Double Degree at LSM.

 

Priority Housing Access for Incoming Double Degree Students

 

The university has a limited number of accommodations on the Louvain-la-Neuve campus, however, the Service des logements (accommodation service) exceptionally accepts pre-book university accommodations for selected Double degree incoming students coming for the entire academic year at Louvain-la-Neuve.

Action: How to Pre-Book Your Housing

 

To request your accommodation, you must submit the online form starting in March.

 

1) Access the Form: Go to the official Accommodation Service page.

 

2) Fill out the Form: Fill out the "Identity" & "Contact" tabs

 

3) Select: In the Accommodation tab, choose "International Students."

 

4) Confirm and send

 

Important Note: Your accommodation will be available a few days before the official start of the academic year.

 

Your First 72 Hours in Louvain-la-Neuve: 2 Mandatory Steps

The first priority is settling in and finalizing your housing contract. The process depends on how you pre-booked your accommodation:

 

A. University Housing (Pre-booked via Service des logements)


1) Sign Lease & Pay Fees: Go to Contract Management ("UCLouvain Logements") to sign your official lease, pay the first month's rent, security deposit, and administrative costs.

 

2) Get Keys & Inventory: Present your signed lease and ID/Passport at the local Accommodation Office in your residence neighborhood.

 

B. Private Housing (Agency or Private Owner)


· Direct Contact: Contact your landlord or agency directly to arrange the contract signing and key collection.

Registering at the local City Hall is a mandatory legal requirement for all residents and is necessary to confirm your student status in Belgium.

 

If you live in Louvain-la-Neuve, go to the Commune at Voie des Hennuyers, 1. (If you live elsewhere, you must register in that town).

Your LSM Master's Journey: Academics & Life in Louvain-la-Neuve

The academic year is organized into two terms, divided into distinct parts (Part 1 & Part 2) to manage your intensive course load effectively.

Exam Sessions & Rules


Three Sessions: January, June, and August/September.

 

Two Attempts: You have the possibility to present an exam twice within the same academic year.

 

Term Restriction: Exams for a Fall Term (Q1) course can only be presented in January and/or September. Exams for a Spring Term (Q2) course can only be presented in June and/or September.

 

Grading: The final mark for any course is on a scale of 0 to 20/20, with the minimum pass mark being 10/20. UCLouvain uses a single ECTS grading table for transparency.

To earn your LSM Master's degree (Master 120 in Management or Business Engineering), you must earn at least 120 credits ECTS in total. Always consult your home university's requirements for their degree.

The Double Degree Master's Thesis

 

To obtain both Master's degrees, you write one integrated Master's thesis.

 

· Supervision: You must secure one supervisor from LSM or your Partner University.

 

· Jury: A reader from the university other than your supervisor's will be assigned as a second evaluator.

 

· Defense: An oral defense is compulsory for your LSM degree, even if your partner university doesn't require one. This is typically done via videoconference (e.g., Skype) with both professors present.

 

· Requirements: Follow the specific content, methodology, and language requirements of your supervisor's university.

The teaching system for our Master's Degree in Management and our Master's Degree in Business Engineering programmes heavily relies on collaboration and independent study.

 

Teaching Method


· Group Work: A significant amount of coursework involves group work, which generally impacts your final grade and requires substantial time investment. Groups are typically formed during the first week of the semester.

 

· Evaluation: Assessments are based on a mix of class participation, oral presentations, written exams, and projects. Oral exams are common.

Upon final registration at UCLouvain, you will receive key materials to navigate the campus and benefit from student life.

 

· UCLouvain Student Email: Consult this regularly. All official information (courses, exam registration, etc.) will be sent here.

 

· Student Card: Enables registration at the Sports Center and provides discounts for cinema, shops, and travel (if under 26).

 

· Access Card (Smartcard): Your key to the LSM building, libraries, and computer rooms (after 8:00 pm).

 

· MyUCL (Virtual Office): Your personalized intranet giving you free remote access to services like course enrollment, exam registration, Moodle, and data banks.

Louvain-la-Neuve is a unique, fully pedestrian town where everything is within a 10-minute walk from your classroom to the shopping center or the Sports Center. Enjoy living far from traffic stress!

 

Sports & Culture


· Sports Center: The LLN Centre Sportif in the Hocaille quarter offers 60 sports activities. A €60 annual card grants access to all sports and the swimming pool.

· Culture: Explore the Hergé Museum (Tintin), the Aula Magna, Cinema, theater, concerts, Museum, and other cultural exhibitions right on campus.
